What Are RSS Feeds



RSS Feeds.
RSS also known as rich site summary or real simply syndication, arrived on the scene a number of years ago, but was only recently embraced by webmasters as a means to effectively syndicate content. RSS Feeds provide webmasters and content providers an avenue to provide concise summaries to prospective readers. Thousands of commercial web sites and blogs now publish content summaries in an RSS feed. Each item in the feed typically contains a headline; article summary and link back to the online article.
Benefit to the Webmaster: As the web has become more crowded webmasters have been striving to provide fresh and up to date content for their website visitors. Many webmasters have discovered they can easily utilize the information in RSS feeds to provide fresh web content.
RSS feeds are composed in XML, which is a very simple markup language. Similar to HTML, XML uses tags to identify fields. Webmasters can easily parse the RSS feed and dynamically create web pages that contain headlines and summaries. The feeds will continuously update, supplying a steady stream of automatically generated fresh content.
RSS allows webmasters to:
1.) Provide fresh and relevant content on their website, which encourages users to return.
2.) Constantly changing content means that search engine spiders will visit more frequently.
3.) Automate content delivery.
The benefits of RSS feeds are not limited to webmasters, surfers too benefit from the technology as well.
Benefit to Web Surfers: The beauty of RSS is that readers can quickly scan headlines (titles) and read articles of interest. Because the information is condensed and provided in a single location users can generally review more information in a shorter time frame. Additional information is only a click away. Best of all readers choose the feeds they wish to see, there is no spam with RSS. If you are not completely thrilled with the content appearing in a feed simply remove it from the newsreader. The technology is a pull technology rather than push technology, meaning the content is not forced on the consumers, who pull the content they want to see.
RSS allows for users to: 1.) Easily locate information.
2.) Read condensced information or 'soundbytes' with clearly marked and dated topic material.
3.) Classify and categorize information in an easy to navigate manner.
4.) Maximize their time without having to deal with spam.
RSS feeds can be viewed in a news aggregator or reader, which constantly updates and shows unread feeds. I found the functionality of the newsreaders to be similar to a simple email client. Consumers generally enter the URL of any RSS feeds that interest them. Topics with a common theme can be segregated into related groups.
I highly recommend FeedDemon http://www.feeddemon.com by BradSoft as a newsreader. FeedDemon is extremely easy to use and allows for quick scanning and indexing of topics. FeedDemon allows users to quickly scan, sort and scroll through headline and article summaries, while viewing the actual content in a split screen web browser.
Finding Topic Specific Relevant Feeds In order to find feeds that provide niche information users can search Feedster. Feedster http://www.feedster.com is a rapidly growing news search engine that indexes information contained within RSS feeds. Searches for topic specific feeds can be conducted and feeds can be retrieved for syndication.
Benefit to Content Developer While the benefits to users and webmasters are clear the distribution opportunities made available to content developers should not be overlooked. Information contained in the RSS feed can be easily syndicated, increasing content distribution and reach.
RSS allows for content developers to:
1.) Increase exposure in niche markets.
2.) Communicate with user bases and reach potential customers via an alternate communication method.
3.) Disseminate relevant information.
4.) Define themselves as an industry expert.
5.) Automate content delivery.
RSS has effectively standardized the format for content delivery and has effectively defined the accepted standard for content distribution and syndication. RSS will likely rival email as a means of content distribution in another few years. The shear simplicity makes the technology very appealing.
The distribution potential, while albeit difficult to measure, is still attractive to all parties making the likelihood that RSS popularity will only continue to grow.

RSS & How to Use It -- Part 2

Welcome to part 2 of the article that aims to give you just enough information to help you understand RSS and start using it.

Part 1 gave you simple instructions on how to read and subscribe to an RSS site feed, part 2 will give you simple instructions on how to publish your own.

Firstly, which websites can benefit from a site feed? Well, pretty much all of them.

If you provide a service, you could use a site feed to announce amendments and upgrades.

If you sell stuff, you could use a site feed to announce new products and special offers.

And if you own a website or web log that is regularly updated with news of any description, a site feed is virtually a necessity.

Site feeds may not be exactly commonplace at present but don't doubt for a moment that their popularity is growing. If you get a site feed up and running now, you'll be ahead of the game for some time to come and offer a friendly alternative to email communication.

Site feeds are usually written in a code called XML. If you view the code for a site feed it will look a little like HTML.

You could:

-- Learn the language and write your own site feed. Each time you want to add an update, just update your site feed page.

-- Buy some fancy software that writes and updates the site feed for you.

-- Or? setup a site feed online that automatically updates, for free in about 20 minutes.

Third option sound good? Ok, start by setting up your own blog at Blogger.

This is free to do and, if you want, they will even host it for you in exchange for a couple of banners at the top of the blog. The great thing about Blogger is that it works in tandem with the Google Toolbar.

Found a website you want to note in your blog? Click the icon in your Google Toolbar and it's taken care of.

Everytime you add or change something on your website, record it in your blog so individuals and search engines viewing your blog can be made aware of it.

The other great thing about Blogger is that it automatically creates and updates a site feed for you. Everytime you post a message to your blog, this is added to your site feed as well.

You can get the address of your site feed from the Blogger control panel by visiting the section marked "Settings" and selecting "Site Feed".

Now you know the web address of your site feed, you are free to add it to your homepage, submit it to RSS directories, anything you want.

But wait, before you rush off, you'll want to know how to track visits to your site feed.

This bit is even easier. Just convert your site feed address into a FeedBurner address.

Go to: www.feedburner.com and enter the address of your site feed into the box marked "Feed URL:", then click "Next >>".

Play around with some of the options and at the end of it you will have a new site feed address that looks something like this:

http://feeds.feedburner.com/yourwebsitename Now advertise this site feed address instead of the site feed address Blogger gave you. It will do exactly the same thing, except now you can login to FeedBurner and view statistics on how often your site feed page is visited.

Among other things, FeedBurner will also:

-- Dress your site feed up so when someone views it in their normal internet browser it will explain what it is instead of just showing the source code.

-- Tweak the code of your site so it can be read by all RSS readers, even those that only support ATOM.

All done? Let's recap:

You now know how to identify, view and subscribe to an RSS feed.

You now have a blog you can submit to blog directories that allows people and search engines to see updates to your website.

And you have a site feed address you can submit to RSS directories and advertise on your website. Visitors to your website can subscribe to your feed and never miss anything new you have to offer.

RSS & How to Use It (part 1)

Have you ever read an article, intended to explain RSS in simple terms that, begins well, but soon descends into confusing jargon or information overload?

If so, take heart, I was in the same place a few months ago.

Often the best way to understand something, is to use it. RSS is no exception.

So rather than try and create a definitive explanation of RSS, this article will tell you how to use it. I guarantee once you've done so, everything will that much clearer.

If a website you visit utilizes RSS, there are a number of ways it will communicate this.

The most common way is to show a little orange button with the letters XML.

Alternatively, you may see words such as "ATOM", "RSS", "Site Feed" or variations on these.

What they have in common is that they will link to a webpage that, in most browsers, looks like gibberish.

It doesn't matter one way or another, what is important is the address of the web page they link to.

To demonstrate, I will relate how to read a site feed for my website, The Nettle Blog. Don't confuse RSS with blogs (web logs). They are two separate concepts. The only reason you see them together so often, is that blogs are the perfect website to take advantage of site feeds. More on that later. Here we go?

Click on this link to go the site feed for The Nettle Blog. Ignore the content in the window, just make a note of the URL in the web address bar. It should read: http://feeds.feedburner.com/thenettle

Now you've got the web address for the site feed, keep it safe somewhere. You'll need it again in a moment.

The next step is to use an RSS reader to make sense of the site feed. There are lots of these available and if you are a heavy user you would probably want to purchase a nice piece of software.

But to begin with, start with something simple and free. Start with Bloglines.

Go to www.bloglines.com/register/ and create a new account.

From the "My Feeds" section of your account you can add new site feeds you want to keep track of.

Select "ADD", enter the URL you copied and hit "Subscribe". You can preview the results, but skip that stage for now. Select "Subscribe" again and the title of the site feed will be transferred to the left-hand window.

Well done. You have now subscribed to your first RSS feed.

To read it just click on the title and you can view all the messages in that feed within a selected time period. The feed will most likely record news related to the website the feed belongs to.

In this instance, the site feed to The Nettle Blog records each new entry to my blog. If you find something of interest, most entries have a clickable link you can follow.

Anytime you find a website you like with a site feed, make a note of the URL for that site feed and add it to your Bloglines folder.

Now comes the clever bit.

In the left-hand column of your account is an "Extras" list. Select Download Notifier and choose the correct file to download the Bloglines Notifier This file is only 100k so any half-decent connection should complete the download in just a few seconds.

If the download is successful, you should see a small, blue icon with the letter "B". Double-clicking it will short-cut you to Bloglines.

Right-click on the icon and you can adjust the settings. Specify how often you want Bloglines to check messages for you.

When Bloglines checks your site feeds and finds that one or more have been updated, a little chime will play and the Bloglines icon will show a little red marker. This means one of the feeds you have subscribed to has something new to say.

So there you have it. A spam-free, hassle-free way to keep track of websites you have an interest in. Providing of course, that they have a site feed. If they don't, ask them why not.

Part two of this article will show webmaster and ezine publishers how they can easily publish a site feed for their website and track the visitors, free of charge.

Is a Blog Right For Your Business?

Lemmings are cute, but dumb. If you tell them to jump off a cliff, they will. Just like the people who start blogs because everyone is doing it. Guess what happens after a little while? The blogs die.

In managing a list of many Web sites, most of which are blogs, I deleted countless sites from the list because the sites and blogs no longer existed. The people ran out of steam or had no reason to start them in the first place.

How do you know when a blog is right for your business? Learn why people start blogs, how they find their niche and how blogging tools can be used for more than blogs.

Some people like to read blogs, others like to read newsletters, still others like to rely on feeds and some read a few or all of them. No matter the method the information is distributed, each medium has one thing in common: content. Having a blog connects your newsletter and your business with all of these readers and delivers important content in a particular style.

I've been blogging since June 2000. If you review my early blog entries in meryl's notes, you'll notice they're more personal. When blogs first hit the scene in the late '90s, they were personal diaries and journals. Like the blog business, my blog has transformed from personal to business speak, although I still add personal notes here and there.

A few bloggers tend to talk about their work, their products and their little world. That might work for celebrities where fans want to know everything about them, but it doesn't work for the average business person. Other business people want information on how to succeed and when a blog spends time hawking products offering information of no value, few people will return. The people whose products sell well are the ones who provide valuable information. Readers already know what kind of information they're getting, so they trust that when they buy something, it will be of the same or better quality. This value must be reflected in their blog. It's much like people who only sign up for a newsletter after first seeing an example.

No one wants to be a lemming (I would hope). How do you decide whether or not to set up a blog? The answer isn't black or white (what did you expect?). Ask these questions:

  • Can you regularly update it - at least five times a week?
  • Do you have something to say other than just linking to others?
  • Do you read other blogs or feeds?
  • Can you provide information of value to others not just to yourself?
  • How large is your newsletter subscriber list?
  • How many unique visitors do you get on an average day, week or month?

The big decider is whether or not you can write in the blog almost daily. The people behind the high traffic blogs post multiple times a day. Though resourceful, merely linking to other sites doesn't give visitors much reason to make the effort to come to yours. Reading other blogs or feeds is a great way to learn how to carry a discussion. Find other blogs covering topics similar to yours and check them out. Disagree with their opinions? Write about it and explain your reasons. Cross-blog discussions are common, and that's where trackback comes in handy.

Trackback is a blog feature. If you decide to comment on another blog posting in your blog instead of in that blog's comments page, then you link to the conversation through the trackback link. Trackback is similar to the permalink, the permanent URL for the blog entry, but it has a different URL for copying and pasting in your blog's trackback box.

Aside from the technical aspects of operating a blog on a daily basis, subscriber list size and Web site traffic are good indicators of what kind of reaction you'll get when opening a blog. Starting from scratch with little traffic means you have a long road ahead and lots of work to do. There is no magic formula anyone can sell you for $97 to make your blog an overnight success. But with some perseverance and ingenuity, your blog can engage many prospects and clients.

Considering there are numerous blogs out there, pick a niche topic when starting a blog for a better shot at attracting and keeping an audience. meryl's notes focuses on three areas: webby, geeky and wordy. In reality, this is too much. What I need to do for my readers is create three separate blog entry points, so those interested in writing, newsletters and Internet marketing get nothing but the wordy entries. Those interested in Web design get the webby stuff and the technophiles receive the geeky content.

I also manage a personal blog separate from meryl's notes. It's about cochlear implants and deafness. This could fall under the geeky category, but it's a personal blog and doesn't belong in meryl's notes. This blog is written for a different audience.

The blogging tools for both of my blogs come with syndication capabilities so those using feed readers or aggregators can read the content through the software. When sending a new issue of a newsletter, comment on it or link to it in the blog, that way the blog and feed readers will get the goods, so all three bases are covered.

Blogging tools aren't just for, well, blogging. Such tools are an excellent way to help you update your Web site more often than you otherwise would. I use it to manage the list of tableless Web sites. Using blogging tools is much easier than the way I managed it before, updating the HTML files by hand. Though using a blog tool, it isn't a blog. In this case, the blog tool has become a content management system (CMS).

Small business owners don't have a need for the fancy and pricey CMSes out there. They find it easier to use blogging software to manage their sites or hire someone to adapt the tool for their site.

Blogs have found a place in businesses and people are finding creative ways to use them. Some companies have a blog on the intranet for communicating project status, jeopardies and metrics. They're used for knowledge management. With information pouring in, blog tools provide a way to share, organize and process the information.

Being a follower can be good or bad. No one wants to walk off a cliff with the lemmings, but everyone wants to succeed. Best practices won't help, since the decision to blog is based on the organization's mission, needs and goals along with its target market's desires and needs. A blog about lemmings? There is one, sort of. Or maybe you'd like to start your own and talk about dumb business moves.

What Is This RSS, XML, RDF, and Atom Business?

It's been a long day at work and you're in no mood to cook dinner or go out. Time to count on the reliable pizza delivery guy. The order is called in and he promptly arrives with smokin' hot pizza within 30 minutes as promised. If it were only that easy with a picky family where no one can agree on the same restaurant for dinner. One wants Mexican, another wants Chinese, and another wants a burger and Mexican. Instead of running to three different places, you call a delivery service that goes to all of them and brings it to you. What could be easier in getting a meal without cooking it or fetching it?

RSS, XML, RDF, and Atom are the food delivery guy of the Internet. The content they deliver is mixed and cooked elsewhere on the Internet just like the meal isn't made on your door step and the acronym fellows bring the content to you via software or an online application. Instead of trying to remember all the places where you like to go to get the latest news, it all comes to you once you order your food.

Click on any of those orange or blue RSS, XML, or RDF buttons and you see unreadable text. Some of it is readable, but reading between the is slow and difficult. In this case, you've got the raw ingredients of the content known as a feed. To make it easily readable, download a feed reader that can interpret (aggregate) the ingredients or sign up for an online service that can do the same.

When the software or application is ready to go, click on the orange or blue button (or "Syndicate This Page," or whatever is along these lines) and copy the resulting URL from the address box. Paste it into the application to cook the ingredients where it's delivered to you ready for your enjoyment.

Syndication is a not a new concept on the Internet, but it's growing in popularity as more Web sites and newsletters are churning content to turn it into syndicated files, which are fed into an aggregator. Think of it as the content that's ready to travel anywhere it needs to go. Grab the feed and feed it to the aggregator, another way of bookmarking (or creating a favorite) a site because you wish to come back again another time. But how often did you go back to the site through your bookmarks / favorites?

Instead of schlepping from site to site in search of information, I have it all in front of me via the aggregator. The feeds are sorted in folders by topic for easy finding. If I'm writing about the latest virus or worm, then I open the security folder with the security-related feeds and scan them. Scanning content through aggregators is easier than on a Web site because it's in one folder with headlines and maybe a short summary. On a Web site, you're only getting the benefit of that site's news and no where else. The folder has news from over ten resources including blogs, news sites, and newsletters.

Any content can be syndicated. It's a matter of having the backend process in place, which is dependent on the application used for managing the content. If a site doesn't have such resources, then there is software for entering content to create a file with the feed for posting on the site.

Most aggregators have exporting capabilities so the feed can be shared with others interested in the same topic. If you're interested in my security feeds, I can export them into, in most cases, an OPML file and you can import it into your aggregator.

Spam filters are preventing readers from getting newsletters or they get lost in the spam pool. Offering a feed for the newsletter is a compromise. Readers can get the content, only instead of it coming to the emailbox, it comes through the aggregator. It's a way around spam. Like everything else, it has its advantages and disadvantages:

Advantages:

  • Filters can't stop the newsletter from reaching its destination.
  • The recipient will get it - if the server is down, it'll download next time and email can get lost.
  • The feed can be syndicated providing more exposure for your content.

Disadvantages:

  • Rely on readers to open aggregators like they open email client, but some aggregators are built-in with an email client like NewsGator and there are online aggregators like Bloglines, which can be your home page.
  • Metrics won't be as complete, but it's still there through the links.
  • Not as pretty as HTML-based newsletters.

If the feed is automatically created, what have you got to lose? You're providing another way for your readers to get your content just like you can get pizza in different ways: go to the restaurant, have it delivered, or make it at home. More applications are adding syndication capabilities, which make the process effortless. Some have said they won't read something unless it has a feed.

Syndication works better than bookmarks. With bookmarks, you click on a site that might have the security information and arrive there to find it doesn't. So, back to the bookmarks to click on another site. Lather, rinse, repeat. With aggregators, there is no jumping from site to site. Scan the headlines right there until you find what you need.

There was a time when we didn't have the option to have pizza delivered to our doorstep. When we're too tired, we know we can rely on the delivery guy. In term of content, expect to see it show up at your doorstep more often than the pizza guy plus it's cheaper with the cost only coming from the software though there are many free options available. Syndication is here to stay and should be added to a company's communication toolbox rather than as a replacement. Witness it by watching for RSS, XML, RDF, and Atom out there.

Feed The Need: 5 Ways To Use RSS To Boost Your Business Or Organizational Success

RSS (it stands for Really Simple Syndication, among other things) is a relatively new technology that allows anyone who creates frequently changing web content - news, blogs, current events, etc. - to deliver their messages to interested readers with no fuss, no muss and best of all - no spam!

Currently, RSS is being used by content-rich sites (mainly blogs and news centers) to keep readers up-to-date on newly published posts or breaking stories. But RSS can do so much more. Many businesses and organizations are failing to truly exploit the amazing properties of this technology - and in doing so are leaving on the table innumerable opportunities to create even greater value, sales and traffic for their company, product or service and the market share it represents. Below are just a few of the creative ways that businesses and other groups can tap into the power of RSS and create new streams of revenue and interest for their organizations.


1. Create An "Announcements And Special Offers" Feed

If your business offers classes, seminars, products, services, specials, sales - essentially anything that changes, updates or rotates throughout a cycle - then creating a dedicated RSS feed could save you (and your clients) time and money. By creating an "Announcements and Special Offers" feed and offering access to your clients as an alternative to emails and print mailers, you can keep your client base up to speed, plus send out limited-time and exclusive "feed only" special offers and discounts, thereby offering an incentive to "get on board." This not only saves you time by reducing the advertising cycle to the time it takes to update your web page/feed, it saves your clients money by enabling them to quickly scan through the offering headings and pick out just the one's they're interested in - while your savings on the cost and time of paper and digital mailings (with their appallingly low conversion rates and sporadic delivery) progressively increase as the feed readership segment of your client base grows.


2. Create A "Client of the Week" Feed

If you're in a business where this sort of recognition is appropriate, then this could be a big hit! Creating a feed that regularly highlights a different client, their business and any special offers that they might like to make available - exclusively to other feed members, of course - can be a great value-add for your clients, one that costs you little more than the few minutes it takes to create the "spot" and publish it on your site/feed. Include a photo and a business link and your clients will be singing your praises far and wide!


3. Create A Training Or Team Feed

If you are part of a network marketing venture or are in charge of a large sales force or other team and need a way to consistently and continually get training aids, updates, incentives, sales copy, goals, meeting agendas and other items to your downline or members, consider setting up a feed just to serve this function. Since the actual content is hosted at one central site (subscribers only receive a "teaser" that they have to click through to get the full message), you can upload any digital file of any size that you need at the site itself and be assured that everyone who gets the message will be able to retrieve the files - not always a sure thing when dealing with email attachments and text messaging.


4. Create an inter-office feed

Memos, presentation materials, files, announcements, new policies, schedules - all this can be gathered up in one central feed (or broken down into departmental feeds) that are then easily maintained in one central archive and easily accessible by anyone who needs them. Nobody is left behind or out of the loop because they didn't check their email (or because the message got filtered or bounced) and everyone gets just the information they need without dealing with a lot of cross-over communication from people replying and clarifying.


5. Schools, non-profits and other organizations - RSS works for you too!

Schools - Consider the possibilities of a student feed, updated with activities, exam dates, school closings, special "student only" offers from local businesses and so on. Or how about a special assignment feed in which class materials are uploaded by each instructor for students who are ill, away from home or otherwise unable to be in class?

Churches - A congregational feed can supply daily meditations, worship service schedules, prayer requests, special events and other such messages right to your congregant's desktop - a sort of ongoing, rolling newsletter that never has to wait for a full page or go out off-schedule due to mised deadlines (items go out as they come in - it's that simple). This could also be accessed by members who are doing missionary work overseas, to help them feel more connected with home and to allow them to contribute by sending in updates of their work to be added to the general feed.

Non-profits - Volunteer feeds could provide a running update of available positions and work needed, as well as featuring profiles of special volunteers and organizational wish lists; fundraising feeds might keep donors abreast of giving events and how their donations are being used; and inter-organizational feeds can keep board members and other involved parties up to date on meeting times, agendas and projects. All great ways of utilizing the powers of RSS for the common good!


Consider these options the next time you need to get information out to a scattered and diverse readership, or need to publish material that never seems to come in when you need it to. RSS is a new technology, surely. But that just means that it's true power to serve your needs is only now being discovered. One of the best ways to keep ahead of the crowd is to forge a path through new territories. Where will RSS lead you?

Blog Reflection

I still consider myself to be a blog writing novice but as I've got a few entries under my belt I can tell you about an unexpected bonus of this journaling process. A lot of people think that blog writers are just people who are tooting their own horns blabbering on self-righteously about what they believe to be true in life. On the contrary, for me writing a blog has helped me to reflect on my experiences that I may have otherwise have forgotten if I hadn't written them down. It has become a process of self-actualization, whether others have read my thoughts has become less of a priority for me. When I read over my past entries I am surprised to hear about thoughts, ideas, and wisdom that is quite relevant to my present experiences. It's like I already knew some of the solutions to my problems in the present, but I still had to go through the experiences to actually have this knowledge become truly learnt. I also find it rewarding in both the respects that I get to 'relive' certain moments in my life, and I get to analyze my previous thoughts. This analysis often leads me to new ideas that I couldn't see clearly when I was in the original moment. 'Reliving' past experiences by reading old journal entries can be a powerful experience indeed. You can be transported to the moment in time you were writing about, as well as the moment and feelings you had when writing the blog entry. Experiencing these events and feelings again can be a really enlightening process, especially if the emotions you had were strong ones. An example of this from my blog www.thepowerofeverythingthatis.com is a recent upheaval of emotions I wrote about when a young lady I'd been dating and really started to like a lot told me she didn't want to kiss me anymore. Now when I read this entry I can feel those same painful feelings, but in a new light as the time has passed and I've moved on. It gives me hope in understanding that all feelings pass, and also in the knowledge that all things happen for a reason. This knowledge I couldn't see at the time as I was totally enveloped by my agony. These insights into past feelings and thoughts have been an eye opener for my self-introspection process. I think the blog can give you the chance to get to know yourself better, something all humans could find beneficial. All of us are on quests to find out who we are and why we are here on Earth. The blogging process might just be another avenue for people to find out who they truly are. Keep on writing my friends!

RSS is a Life Raft, Saving Us from a Sea of Useless Information

One of the main problems with the Internet these days is the fact that there is so much information out there; it can be quite hard to find the particular knowledge that you're looking for. It can often feel like you're surfing waves of thick chocolate fudge sauce and your honeycomb board has a crack that's getting wider by the second. Over stimulus is the issue here; you wanted to read opinions from music enthusiasts about music, and every second blog article had to do with new punk hairdo trends and which band has the coolest tattoos. How can we find only the content we're looking for without getting bogged down in miscellaneous information that erodes both time and patience? The answer is in context. There's now a way to sift through the cacophony of babble and wisdom to find exactly what you're looking for. Instead of having to join clubs and organizations and receive their newsletters via email at their convenience you can now have control over what you receive. Having to search through millions of blogs to find the few you like has now become an obsolete task. The new system is called an RSS Reader: 'Rich site summary' or 'really simple syndication' are the common definitions of this software. The process begins by signing up to receive automatic updates from blogs and other Web sites that distribute summaries of their latest postings to your reader. You then find which ones you like and delete the rest. You can keep adding new sites until you have literally hundreds of informative connections in your areas of specific interest. Another great aspect of the RSS Reader program is the fact that you can put in key words of interest and the computer will surf the Web for you and add new blogs and web sites to your list, rating them according to the terms you have selected. You then scan over these and add the ones you feel are relevant, deleting the detritus. Eventually you will have an email-style formatted file where you can search through all your favourite writers, news, and topics' latest information. Then you also have functions such as 'comment' so you can automatically share your input with your fellow humans. Or, you can reply to the 'messages' and actually communicate with the producers of the ideas. This will really help to decentralise the information sharing processes of the current top-down mass communication systems like the media. We can hear multiple opinions on an issue and give our own views, instead of being told one story that is heavily affected by the company's personal perspective of the situation.
So, you can see this has the potential for something quite big. Less time wasted, finding all the knowledge you're looking for, and sharing your opinion and meeting others similar to yourself has never been so easy. The RSS Reader is a knife cutting away all the useless packaging, revealing the true content of the gift of the Internet.

Writing Good Blogs

There's a lot of blogs out there on the Web, most of which don't entice one to go back regularly to read updates. What is missing from these on-line journals that would essentially make them 'good' blogs? Well, the answers in life usually come down to simplicities. So let's look at the problem like we were children. Children don't complicate life with miscellaneous information, and when they speak they tell you straight to the point exactly how they feel and think about a subject. First of all, we should ask the questions," Why do blogs exist? And what are they here for?" Well, in an ideal world 'good' blogs would help people connect, sharing knowledge and feelings about issues in life. As they are journals written by individuals we would hope that they'd be readable and open to comment by all other people, not just a select group of friends. The key is speaking in a way that is understandable by the masses, get rid of acronyms and local slang that only few will comprehend. Keep the sentences grammatically simple and generally short and concise. Try to write in your blog as often as possible because if people enjoy reading your thoughts and ideas they'll want to communicate or at least be filled in regularly on 'your world'. Ask questions, comment on other blogs of similar content, start communities with others you've never met, based on your interests. Keep focused; if your blog is about thoughts on war and peace, keep your thoughts on the latest movie and how hungry you are for somewhere else. The idea is to incite intelligent communication so that in time our collective stockpile of knowledge and wisdom will gradually grow like a tree in fertile soil. I think of most importance is the fact that you want this journal to be 'good' reading. Of course we all have ideas about what genres and styles we like, but writing from your heart and soul is imperative for the connection with others that you're looking for. Share yourself; don't hide behind walls of fear of ridicule and judgment. In real life relationships trust, respect, intimacy, and unity are all necessary for a bond to form. It's the same in the 'virtual' world; people want to hear from real people-not just one-sided, highly opinionated arguments from egos that don't want to hear the 'other side of the coin'. Now, in my last article I really tore apart most writers out there, and here I'm giving some pretty complex ideas on how to fix the problem of 'bad' writing. In my next article I'll attempt to go back to the simple basics of how to write for beginners. I hope I haven't come across as too judgmental, I just truly believe the 'blog world' could become a real asset to humanity, and at the moment it's missing the mark. Ideas about sentence structure, grammar, paragraphing, using a thesaurus (varying terms used so as not to sound repetitive), whether or not your blog is suitable for a personal or professional approach, are all important to creating a simple and enjoyable read for the blogging visitor. Blog Problems

What in the world is up with the world of blogs? Blogs are meant to be this great new technology where people can share their ideas and interests with others around the globe. As far as I'm concerned the state of blogs is one of chaos, confusion, and anti-interactivity. The other day I decided to do some research on the Web and try to connect to some blog writers out there that interested me. Let me tell you it was not an enjoyable task as I had envisioned. I spent four painful hours surfing through around a thousand on-line journals, and I found only a few that interested me. What are we doing out there people? First of all, just getting to a blog can be a pain in the arse. For example, you type in the words 'Philosophy blogs' and a whole bunch of sites come up. Some are conglomerate sites with thousands of journals, but the area you're searching for may have only one blog in it! This is because they separate the blogs into a million different categories, like 'love', 'lovers', 'lovable' etc. Why not have just a few main categories to choose from? The next problem is the content. People with 'philosophical' blogs are having personal chats with their mates about the local dance competition on Tuesday! Why not go to a chat room if you just want to talk to your friends? Blogs are supposed to be a personal viewpoint expressed to the whole Web community. Wouldn't you actually like to meet more people like yourself? How is this going to happen if you talk in strange uncommon slang and acronyms that you and your friends can only understand? Please stick to the subject at hand, and take it at least half seriously. Another major problem is the fact that you can find a really cool blog that sparks an interest, but then find that the writer hasn't added an entry in over a year! What's it doing on the Net? Have these people passed away? I seriously doubt it, as there are so many blogs in this 'lost' state. Having a blog is a responsibility; it's a shared diary for the whole community. How can someone form a relationship if you only write in your blog once a millennium? Back to the subject of content: These on-line journals are a real chance to communicate regularly with others with similar views to yourself. We can learn a lot from each other, as each human is an individual with special traits and skills that only they have. So why do we see so many blogs just talking about trivial nonsense like 'Who the coolest movie actor is.' Humanity is an intelligent species evolving everyday towards a higher consciousness. So where are all the thinkers out there, the people who have taken us to the next levels of spirituality and scientific exploration? I'd really like to hear what you've got to say, but all I can find are philosophical beliefs on why died pink jeans express one's true inner self. The issue of making comments on someone's blog is also a controversial one. Why have comments sections if you're not going to reply to people who have expressed an interest in what you've had to say? How is this community going to function if all the conversation is one-way! Come on people, wake up and smell the onions! Let's change the blogging community into the awesome structure of shared knowledge that it was intended for. Please don't let it turn into the small-talk world of chat rooms.

Writing Quality Blogs

Writing?Blogs?Blogs are on-line journals where people express themselves through writing. Writing?Writing is the process where one puts down words of a language on a format that others can read. This process has not been around very long, to use one of my writing teacher's favorite sayings, "Writing has only existed for one day in the one year that humanity has existed." Speaking and thinking come much easier than writing. These processes just flow out naturally like a river of consciousness; sometimes we hardly have to think about doing them. Anyone and everyone can write words down on paper but that doesn't mean it's 'good writing', myself included. Like most things in life, our society already takes writing for granted which is proving to expose more of our ignorance. Writing is a new form of expression, and if we want to do it in a way that the masses can connect with our ideas, we have to think much more simply and clearly about this art. Now that was quite a big paragraph, you've got to wonder if I really needed to say as much as I just did to introduce this article on the best way to write your blogs on the Web. I didn't even mention this main idea, and that's what an introduction paragraph is meant to be for. This is a common mistake in many blogs out there. We try to get too many ideas across in one paragraph, sometimes even in one sentence! The key, as in all things in life-is to keep it simple. Simplicity means that readers won't get confused about what your journal entry is actually about. Introduce your main general topic at the start, and use the subsequent paragraphs to discuss separate ideas that relate to this topic. Try to tie everything up in the concluding paragraph, your main argument and the reason why you've written in the first place. Grammar and sentence construction are not easy systems to master, especially if you come from a school system that spent more time telling you about historical battles and quadratic equations than on how to read and write. This is a real problem. When we speak we can get messages across to others easily, but if we put these words down on paper, the writing just isn't interesting and doesn't connect with people's curiosities and fascination. When you write you are not talking to a close friend. You can't use slang and colloquialisms that only your local community can understand. The aim is to connect with all the people in the world, so let's make it crystal clear and enjoyable to read. Your computer has spelling and grammar checks, as well as access to a thesaurus. Use them, but remember that the machine can't decipher all the intricacies of language. Language is a world in itself, and much of its territories are undiscovered by the masses. So, again keep it simple. Short, precise sentences with single ideas are great. Many words in the English language have the same meanings (synonyms). Use the thesaurus so you don't repeat the same word over and over throughout the text. It keeps the story fresh and doesn't turn the reader off. There's nothing more boring than repetition. Using different words can be a lot of fun and a learning experience, just make sure you use a dictionary (also on the computer/Internet) to make absolute sure of the word's definition. Readability?Simplicity?Make your blog accessible by all people. You can even take into consideration that many readers will have learned English as a second language. As I've said in previous articles, keep to the point-don't go on tangents. Stick with the article's topic, and definitely stay within the realms of your blog's main area. If your blog is entitled "Jazz music", people who go there don't want to hear about how your football team won on the weekend! Please be consistent. How irritating is it to visit a blog that hasn't been written on in months or years? I hope these little tips will help you on your quest to producing 'good' writing that brings new friends and acquaintances of similar outlooks into your world. If you want people to read, the aim is to produce an emotional reaction in your reader. Pretend you are writing to another form of yourself, if it were not readable, interesting and fun?would you stick around?

Software Piracy

SOFTWARE PIRACY

We regularly hear reports about the cost to the software industry of software piracy, but are the claims to be taken at face value? Statistics are notoriously biased towards what the author is trying to say.

Types of Software:

There are three basic types of software, although these do have their own subsections, as will be discussed later:

1. Commercial software, purchased with a licence for one or more computers. This generally is coupled with some form of support and regular updates to patch errors etc. Sometimes a new version of the software is offered at a reduced rate as "update". This type of software is generally relatively expensive and is often designed to cover specific industrial purposes. The big exception is the various sets of "office" software, which are designed for use in the commercial environment, but can naturally be equally used for various tasks at home. The most common application in this category is, of course, text editing. Most of the other classic "office" applications, such as calculations and data bases are only of limited use in the domestic environment, although they will be used in some cases, particularly now that the more computer-literate generation is growing.

2. Simplified or "lite" versions of the commercial software. These are intended principally for small businesses and enterprises that do not need the complete capabilities of, say, a 3-D modelling system, but must be able to view such documentation and prepare compatible drawings. Again, the "office" environment was a long time not represented in this sector, but has recently started to be available. These will also come with a single or multiple, but limited licence and now mostly be registered with the manufacturer.

3. Free or "open source" software. This is designed for general distribution and has no particular limitations as to use, except that it may not be changed in any way. Naturally, such software has its limitations, but may serve very adequately for many purposes. Practically all types of software are to be found in this category. One notable application distributes the software to read its documents freely, but charges for the software to produce the documents. This policy is arguably the motor behind its ride to a position as industry standard, since you can always be certain that he receiver can decipher whatever is sent, without long discussions about compatibility and versions.

Clearly, there can be no piracy of products that fall into the third category, except for changing of the code or reuse of the code for other purposes, but this does not appear to be a major issue at the moment, so we will concentrate our attention on the first two categories.

Both of these categories contain software that is copied and distributed either free of charge or for a nominal fee. Naturally, the full versions of the software are preferred, but the simplified versions are also to be found, depending on what is available.

Types of Software Pirate

This puts our software pirates into two categories of their own:

1. Those who knowingly use a copy of software "borrowed" from work or supplied by friends, who probably acquired it by the same means.

2. Those who prepare copies of software from an original and sell it at a low price through internet auctions or on market stands. Their customers may, in many cases, be unaware that the software has been pirated and simply be pleased to acquire a software package at a bargain price. Some will be quite well aware of the actual source, but still prepared to take this means of saving money.

Composition of the Groups:

So who is to be found in these two groups?

1. This group is very widely ranged and consists of school children, people practicing at home with the company software, various private persons with an interest in computers who will try anything that is free and, possibly, very small businesses. Many schools will supply their students with copies of software licensed for the school to enable them to complete homework or learn to use it for technical subjects. A student finishing a technical school with little or no knowledge of the technical software used in their industry will not easily find employment, so a blind eye is turned in many schools to this practice. Schoolwork is often required to be written on computer these days, and again, this is only really possible if some form of text software is available. Those who use company software at home to play with or for their children to complete homework are also a large group. The computer has become a part of our lifestyle in the western hemisphere, and many people are interested in the possibilities opened by the modern generation of powerful number-crunchers. The days of mainframe computers costing hundreds of thousands of dollars is not gone, but the small computer in a network has taken over in many areas, so the professional software that would earlier have required a mainframe connection and a whole basement full of equipment will now run happily on a home computer. There may be a loss of speed, but who cares? The vast majority of these people know full well that what they are doing is not allowed, but consider this as a very minor matter, and would laugh at any suggestion that they should purchase the software officially. The few companies that also do this are saving money that they probably do not have, despite being aware of the risks.

2. The group of people who copy software and distribute it for sale as being genuine are working simply for profit, taking advantage of the simplicity of the process and the high prices of genuine software. The general public is not aware of the penalties for this type of action and is often unsure about recognising the genuine article. Other items in the consumer market are available from many manufacturers as basically identical products, so why should this not be the case with software? Very many are simply duped into buying what they see as a cheap alternative to a brand-marked product.

Costs of Software Piracy:

So what are the real costs to the software companies?

In most cases, school and college students would not be in a position to pay the costs for the expensive commercial software they use in technical subjects, and the schools and colleges are not in a position to supply this to them free of charge. Most schools have licences for software to be used on the premises, but this is not available for the students at home. Theoretically, they will use the computers at school to complete work and practice, but this is generally not possible due to a lack of resources, or classrooms locked because of vandalism. The only way to solve the problem is for the schools to simply distribute the software to their students on the basis of it being only for their use. There is no licence and no direct upgrade possible. Generally, although illegal, this system works quite well. Schools try to copy upgrades and patches for their students, mostly successfully. The snag to the matter is that we educate people in that this is perfectly acceptable practice, despite it being illegal. No-one would think of insisting or even checking that drop-out students erase the software and no longer use it, but this is probably fairly well assured by the fact that they have dropped out in the first place!

Low-Cost Software:

One of the best-known software companies has recently started to sell a slightly simplified version of their software in a student package, stating that this is not for commercial use. Naturally, this is being distributed to everybody without regard to their true status as student or not! Nevertheless it is a definite move in the right direction. Providing an affordable alternative is the first step towards a solution for this problem. The quality is good and it contains all the usual features that are needed.

Other companies also offer free software for student use, but this is in most cases pitifully inadequate and simply not up to the job and no preparation for later commercial practice. It remains to be seen how far the availability of reasonably priced student software will affect sales of the commercial product. One of the factors presumably behind this move is the general attitude that the present software is perfectly adequate and can be used for a length of time without being replaced. Since many software houses have distanced themselves from the idea of upgrade software for older versions at a reduced price, this attitude will probably cause sales of the full commercial software to be limited to new systems, and not as an improvement on older systems.

The new wave of student software is probably intended to bridge this gap somewhat by providing extra revenue. Whether the fears of the others that the production of a student version at greatly reduced price will cut into their sales of the full, commercial version will prove to be correct, or the alternative view that these are complementary products will prevail will remain to be seen.

Benefits of Student Use:

It is undoubtedly true that someone who has trained on one type of software will tend to remain loyal to it as far as company policies allow and that this is a definite motivation to purchase a type of software, hence the policy of the schools is unlikely to be challenged or mentioned publicly. Nevertheless, there is no reason for forcing our youth into criminal activity! Providing a solution that allows people to use these applications during training legally should be a priority for the software houses that will bring some revenue in the short term, and possibly more in the long term. One of the problems in the computer branch has always been the emphasis on short term results and quick profits, but this attitude will have to change soon to allow for these factors.

"Fun " Use:

Again, the people who use the company software at home for fun cannot really be seen as a risk to the profits of a software company. They would simply spend their time otherwise in the evenings if they did not have this possibility! The matter only then becomes problematic when they begin producing work privately for other companies. This would then definitely be a matter for concern, both for the producers of the software and other companies in the same branch, who have to calculate the costs of software into their prices.

Geographical Factors:

The problem is also geographically different. Most of the software packages originate, at least on paper, from the United States. The prices in Europe tend to be 1.5 to 2 times higher, without considering sales tax of any type, which is generally higher in most European countries. Whilst this may not be of consequence for the run of low-cost software, it is a significant difference when complex design or technical applications are considered. This price differential is often explained by higher support costs or translation costs, but these factors alone cannot be the complete reason. A change in this policy would probably help to reduce the level of use of copies in the commercial field at least. Splitting software packages into easily-upgraded elements would also enable small companies to purchase what they need immediately and then add the extra features in time as and when necessary.

Reasons for Software Piracy:

Software piracy is legally a crime, but it is a crime that is still acceptable in our society. Very little has been done to combat it for a number of reasons. One reason is that it is almost universal amongst users of computers. Many people "need" an application once per year and do not wish to pay the sometimes horrendous cost for the commercial licences. Companies have made no real attempt to combat it until now, since this is a form of free advertising, and the benefits of having it available to students have been mentioned above. It is only now, when the earning curve start to tip downhill that this is seen as a threat to company existence. In reality it is relatively simple to make something extremely difficult to copy. Impossibility is a dream in the computer world these days!

Concluding Remarks:

That criminal activity should be hindered and software piracy is, broadly speaking, theft, is quite correct, but the solution is not just to seek out and punish wrong-doers, but to find a solution for all these groups of people who, for one reason or other, wish to use the software, but cannot, or will not, find the means of paying the present market cost. An imaginative solution to this problem could well be the break-through that a company needs to make itself known in every household, provided the product is correct.

Cisco CCNA Certification: Becoming A Truly Valuable CCNA.

I've been active in the Cisco Certification track for four years, working my way from the CCNA to the coveted Cisco Certified Internetwork Expert title, and during that time I've conducted job interviews and casual conversations with hundreds of CCNAs and CCNA candidates.

The CCNA is an exciting beginning to your Cisco career, but just having the certification simply isn't enough. A recruiter or interviewer isn't going to be impressed just with the cert; you've got to have some real-world knowledge to back it up.

I've been down that road myself, and sat on both sides of the CCNA job interview table. With that in mind, I'd like to offer to you some tips on becoming a truly valuable and employable CCNA.

Get some hands-on experience. I know the trap well; you can't get experience until you get a CCNA, and you can't get a CCNA without real experience. Well, actually, you can, but do you want to? Working on simulators is fine to a certain extent, but don't make the classic mistake of depending on them. I've seen plenty of CCNAs who were put in front of a set of routers and really didn't know what to do or how to put together a simple configuration, and had NO idea how to begin troubleshooting.

There are CCNA classes that offer you the chance to work with industry experts on real Cisco equipment. Beyond that, you can put together your own CCNA rack for less than $1000 by buying used routers. Some people think that's a lot of money, but this is the foundation of your career. Treat it that way. The work you do now is the most important work you'll ever do. Do it on real Cisco equipment. The skills I learned as a CCNA helped me all the way up to the CCIE.

Besides, after you get your CCNA (and after that, hopefully you'll choose to pursue the CCNP), you can always get some of your money back by selling the equipment. The hands-on experience you gain this way is invaluable.

Know binary math. Do NOT go the easy route of memorizing a subnet mask chart for the CCNA exam. I know some people brag about being able to pass the CCNA exam without really understanding binary math. I've seen those people on the other side of the interview table, and they're not laughing when I ask them to do a subnetting question. They're not laughing when they can't explain or create a VLSM scheme. That chart does nothing to help you understand what's going on.

If you can add and know the difference between a one and a zero, you can do binary math. Don't let the name intimidate you. Become a REAL CCNA -- learn binary math !

Run "show" and "debug" commands. No commands help you truly understand how things work in a Cisco network than show and debug commands. As you progress through the Cisco certification ranks, you'll be glad you started using these at the CCNA level.

Do you need to know these commands for the exam? Probably not. Do you need them to be successul in the real world? Absolutely.

The Cisco certification track has been great to me, and it can boost your career as well, whether you stop at the CCNA, CCNP, or go all the way to the CCIE. It's the skills you develop today that will truly make you a networking engineer. Don't take shortcuts or get the attitude of "just passing the exam".

It's what you achieve after the exam that counts, and it's the work you put in before passing the exam that makes those achievements possible.

Software Companies: Generate New Revenue Streams and Decrease Costs with Custom e-Learning Content

It's no secret that software companies operate in a very competitive space where rivalry is increasingly fierce and where profit margins can be razor thin. New, smaller software companies are sprouting up each month and the leading software companies continually make strong advancements forward leveraging massive cash flow reserves. This cycle makes it difficult for the mid-sized software company to compete because (a) they don't typically have the cash flow necessary to take giant leaps forward in the industry and (b) because they need to continually move forward to stay ahead of the smaller software companies that are vying for their slot in the marketplace. They need to be thinking on their feet, thinking ahead and thinking creatively, all at the same time. This can be a daunting task, as any software executive will tell you.

Despite all of the challenges that face the mid-sized software market, there are several ways to create these much needed revenue streams and to decrease current costs. New advancements in technology and its use in training and development make generating these revenue streams possible.

Setting the Stage

It is almost taken for granted that when an organization purchases a software package from a reputable vendor, a certain amount of end-user, customer training will be either bundled into the purchase price or made available to them for an additional cost. If training isn't available to the end-user customer, the learning curve on the new software package is going to be fairly steep, depending on the complexity of the software.

Typical training expense categories associated with most mid-sized software companies include:

1. The salaries of offline trainers
2. The travel expenses of offline trainers
3. The costs of producing hard-copy training manuals
4. The time involved in offline, onsite customer training

These expenses should be under a watchful eye and should be consistently viewed as expenses that could be alleviated to some degree to not only improve the company's attractiveness in competitive bid situations but to increase the profit margins of the supplemental training services provided by the company.

At the same time, in the background, mid-sized software companies should be looking for ways to create new revenue streams that they aren't currently capitalizing on to work in collaboration with their cost-reduction initiative.

Step 1: Lowering Training Costs Using Custom e-Learning Content

The first step to any well laid-out cost-reduction plan is to decrease the costs the organization currently incurs in order to get a better handle on profit potential from sheer cost savings. Previously we outlined what our target cost categories are?now we're going to lower the costs associated with those categories by leveraging custom e-Learning content.

Take this scenario: A mid-sized software company that develops intranet portal systems currently employs 3 trainers that are onsite with clients for end-user training 3 days per engagement and they each average approximately 50 engagements per year for a grand total of 150 days on the road per trainer or 450 days on the road collectively.

For these trainers, the onsite training program for the end-user customer may look something like the following:

Day 1: Software Introduction and Primary Functions
Day 2: Functional Use and Administrative Actions
Day 3: Real-World Functions and Labs

Lowering the costs: By leveraging custom e-Learning content, the company used in the above scenario, can effectively reduce the onsite time required for each trainer, thereby reducing all costs associated with the training program across the board.

By using a professionally designed, self-paced, custom e-Learning module to focus on the Software Introduction and Primary Functions training that normally occurs on Day 1 and then delivering that learning module online to their end-user customers at the time of purchase through an e-Learning Management System (LMS), this company could decrease travel time for all 3 trainers by 1 day per engagement. This would decrease travel time for each trainer by 50 days per year, or 150 days collectively during the year. In addition the end-user customers will already be familiar with the software package before the trainers ever set foot in the front door.

This would successfully:

Decrease the costs associated with those 150 days of travel that are now being saved.

Enable the company's trainers to perform more training engagements OR enable the company to decrease the number of in-house trainers it employs.

Decrease the costs associated with creating and publishing the sections of the hard-copy training manuals that deal with the Software Introduction and Primary Functions training session that normally occurs in-person on Day 1 of the training engagement.

Taking it one step further: Reducing each trainers travel schedule by 1 day is good, but it isn't good enough. Software companies employing this cost-reduction method should take it one step further to enhance their end-user customer's experience. They need to make sure that their end-user customers are learning what they need to know to ensure time isn't being wasted covering the same topics when the trainer visits the customer site in-person.

To do this, the software company needs to look at how they plan to deliver the online training to their end-user customers. They will want to make sure that the end-user customers can track and manage the online training portion of their sessions, whether it is self-paced custom e-Learning content or real-time online trainer/student collaboration. Selecting this delivery platform can be difficult but it should include the following basic functions:

1. Student Knowledge Assessments
2. Student Success and Progress Tracking
3. Real-Time Interactivity
4. Self-Paced Learning Delivery

By selecting a delivery platform that addresses all four of these facets of end-user customer training, the mid-sized software company can not only decrease their own costs but enhance their client/vendor relationship by delivering more than what is normally expected or experienced in today's software market. What's the bottom line? The customer is pleased with their user's performance and the value they received from the software company.

Step 2: Creating Revenue Using Custom e-Learning Content

Now that we have lowered our costs, the company needs to look at how they can use their new learning technology to generate new revenue streams for their organization.

Take this scenario: The mid-sized intranet portal software company used in the scenario above now has their own proprietary basic end-user e-Learning module to cover 1 day's worth of what was previously onsite training. The company has effectively reduced their overall, offline training costs. Now it is looking for ways to generate new revenue streams using this technology to (a) make back their initial purchase costs and to (b) create more profit potential for the entire organization.

Creating the revenue: One way for a mid-sized software company, such as the one we're using in our example, to create this much needed revenue stream is to create subsequent, more advanced, self-paced, custom e-Learning training modules. Attractively priced, these learning modules could be made available to their end-user customers online without incurring any additional offline training costs.

In order to do this efficiently and without incurring additional offline training costs, the company needs to make it easy for the end-user customer to purchase the more advanced training content and make it easy for the end-user customer to track their own learners as they attend the training courses so they can readily see its effectiveness. By investing the money today to build the more advanced, custom e-Learning content, this mid-sized software company could realize profits from the training modules within 12 to 24 months once they begin marketing and selling it to their existing client base. Such profits would be dependent on development timeframes, how they market their new training service and their chosen modes of delivery.

Taking it one step further: Making the more advanced e-Learning content convincing and attractive to purchase from the client standpoint takes some ingenuity. People are very susceptible to purchasing something that is located right next to the checkout lane at Target. Similarly, it stands to reason that client of this mid-sized software company will be more apt to purchase additional e-Learning content if it is readily available to them and if they can purchase it without any hassle.

One way to accomplish this is to publish the new, more advanced, self-paced e-Learning modules to the company's LMS portal and then make the modules available for purchase via credit card using e-Commerce or via standard invoice with a single phone call. This essentially acts as the product stands we all see at Target next to the checkout lane. Since everyone needs to pass through checkout lane, it makes sense to put additional products available for purchase there. In other words, if the mid-sized software company is delivering portions of their beginner training program online to their end-user customers, this more advanced e-Learning content should be available for purchase right next to those basic training modules, thus, increasing its visibility and increasing the attractiveness to buy from the client perspective.

The Completed Solution

Because of the tight software market and the strain put on mid-sized software companies to perform, if these companies can decrease the costs associated with their current training programs and create new revenue streams at the same time, it becomes a win/win situation both for the vendor and for the customer. The software company gains a competitive edge and continues to move forward while the client gains an easy-to-engage training program and added value from their software vendor.

Microsoft Great Plains Implementation ? Overview for IT Director/Controller

What is installation in the language of technology? Installation has server and client sides.

  • Server side - Installation creates security environment (logins) on MS SQL Server or MSDE, creates system database - DYNAMICS and then company databases. All these tasks are performed by Microsoft Great Plains Utilities
  • Workstation side - workstation installation copies the client side application, installs current version of MDAC (we need SQL ODBC driver - please check documentation on ODBC DSN setup), registers the application. If you plan to run Great Plains Utilities from the workstation to create server side (see above) - you need to check Install Client and Server Components

What is following implementation? Implementation requires combination of technological and accounting skills

  • System Setup - you should refer to GP documentation. In general setup consists of Company information, General GL/AR/AP/Payroll setup, User classes, Customer/Vendor/Employee classes to name a few
  • Master Records - you should either use integration tools, such as Integration Manager, SQL queries or have users to type in all your GL Accounts, Customers, Vendors, Employees .
  • Beginning Balances - this is recommended approach - you place aside the old accounting application for querying the historical data and enter beginning balances in Great Plains GL, AR, AP, SOP, POP, Payroll. When you have balances in the system you are ready to use it in production
  • Historical Data conversion - this is optional, in order to do historical data conversion you need to know basic Great Plains tables structure (Setup->Tools->Resource Description->Tables Structure). This is similar to surgery - so you probably need outside consultant to help you. If the volume of historical data is small - you can deploy Great Plains Integration Manager and then post the records in the modules.
  • User Training - we are just listing this item - it is up to you to decide on the way to train your users
  • Using Two Systems in Parallel - this is recommended. You should print the reports from both systems during this test period and compare the results
  • Customization - typical areas of customizations: Invoice form, Crystal Reports, pulling info from multiple databases, including Great Plains database, Great Plains forms modification with Modifier/VBA, Great Plains Dexterity forms and logic customization, integration with CRM, RMS and other business systems, web publishing from Great Plains tables, EDI with your suppliers, SQL Data Transformation packages

Do I need consultant? We strongly recommend you to use consultant in the following cases

  • You have identified the need for Great Plains Dexterity customization
  • You are doing migration from Pervasive/Ctree to Microsoft SQL Server/MSDE, especially when you have third-parties without migration tools
  • You are doing migration from Great Plains Accounting to Microsoft Great Plains
  • You have to create a lot or ReportWriter Modified Great Plains Reports
  • You have old version of Great Plains: Dynamics or eEnterprise 6.0 or prior - in this case you can not appeal to Microsoft Technical Support - it is discontinued
  • Your Great Plains has more than 20 users in this case the mistake may lead to serious business problems
  • You don't have support for your old Great Plains - then you have to select your Microsoft Business Solutions Partner and pay for the annual support/enhancement plan - you will get new registration key and will be ready for the upgrade

Reduce TCO: The Java Database Way

TCO (Total Cost Ownership) is the buzzword in today's business world. This metric helps enterprise managers assess direct and indirect costs and benefits derived from their investment on IT components and services. A vital component of overall TCO is database management. All information-centric applications need databases for data storage. Also, the storage demands of small and mid-sized companies are growing rapidly, as more emphasis is given on data backup and long-term archival of data disaster recovery.


Embedded databases have arrived in this scenario as a major cost-cutting tool. They help organizations in managing the growing storage requirements by providing a cost-effective and reliable solution for data backup, file storage and archiving, thereby assuring a lower cost of ownership for small to medium sized business organizations.

The remainder of this article will focus on the database server that I am most familiar with (Daffodil DB) and how it helps in the reduction of TCO. Though the example has some nuances specific to Daffodil DB, I am sure that readers will be able to extrapolate the theme to better understand the role of a database in TCO reduction.


Let's begin with Development and Deployment Costs. Gone are the days when applications had to be tested extensively for all underlying platforms. Now, one can shrink the cost and time required to develop and setup solutions on multiple platforms by using a Java database. A separate deployment for different platform implementations of a large application is a major expense that an enterprise can do without.


Administration Costs are a major concern for many-a-company. Logically, database administration costs are a significant component of TCO. When embedded with an application, a compact Java database can be made practically invisible to the user, since it (the database) requires no administration and runs on the same Java virtual machine (JVM) as does the application. Its simple performance tuning process helps in optimizing database performance and vastly reduces database administration costs.


Now let's move on to Compatibility Cost. Java databases, being platform independent, are compatible with all operating systems and application servers. This feature helps developers in choosing their own range of effective and economical solutions. For example, with Daffodil DB the developer can use Open Source tools like JBOSS application server for reducing overall TCO.


Last, but certainly not the least, let's get to Licensing Costs. Pardon me if I seem to evangelize Daffodil DB, but that's one area where I can 'preach' with confidence. As Daffodil DB can be used / embedded with a wide array of applications, flexible licensing policies have been developed to accommodate the diverse needs of the development community without restricting the same to just one standard license. Each application development organization may pick the right combination of licenses that best meets its needs. The organizations may also acquire additional licenses or upgrade their licenses. Do I hear someone shout 'What about Open Source?'

Instant Messaging is a Sweet Way to Communicate

MSN messenger is a pretty cool invention. I mean I'm not really into serious discussions on the email, answers to questions can often take a few days to arrive because people are so busy these days. I've just been 'hooked up' into Messenger and it's really a different kind of communication, quick, simplistic and even humorous with the capability to express your feelings with 'emotion' cartoons. With Messenger you can communicate with a group of close friends or business partners instantly whenever they are at their computer. When a message is received you are informed instantly on your desktop, you don't have to be at an email site. A little box appears flashing the name of the sender, you read the message and send a reply when you've got a second free. There's a contact list and when you go on-line, it automatically tells you who of your connections are on and off-line at that moment. If someone goes on-line after you've already been at your computer, a small box appears on your screen to tell you who are now also instantly message able. It's like the spontaneity of a telephone call but you don't even have to dial any numbers! Just log in your password and you're connected. The huge array of smiley faces and other 'emotional' icons add another dimension to the conversations. Some of the smiley faces actually move (sticking their tongues out etc.) and there are many other symbols to express the moment. E.g.: Show a little sun when it's sunny in your neighborhood, flash a wilted rose when your love life isn't going to well, put up a black sheep when you're feeling disconnected from society. How about expressing your dream of a holiday by flashing up the tropical island icon when you're stuck in dreary office working hard on a cloudy day. They say a picture speaks a thousand words? Well I certainly don't work for Microsoft but I guess Bill Gates and his buddies have made a few bucks because they've had a couple of good ideas. They're helping the world with their knowledge, and I reckon their MSN Messenger is another step forward in bringing the Earth together into one world. Besides the normal email format you can also have web cam and audio conversations, as well as sending files and photos instantly. It's as sweet as that first time you kissed your honey bunny, well maybe not that sweet.

Troubleshoot Windows with Task Manager

Task Manager is a Windows system utility that displays the
tasks or processes currently running on your computer. To
open Task Manager, press Ctrl+Alt+Del. The Applcations tab
lists the applications currently running on your computer.
A single application may actually consist of several running
processes, and many programs that run in the background are
not listed (you can see icons for some of these programs in
the System Tray).

Note: With Windows 98 and Windows Me, Ctrl+Alt+Del will
open Program Manager, which allows you only to close
aplications. However, you can download one of the many Task
Manager utilities from the Web.

The Processes tab displays a comprehensive list of all the
processes currently running on your computer. This can be
very useful for monitoring your system. The process tab
displays information about the processor useage and memory
usage of each process. The problem is, how to identify a
process. Below is a list of some processes you may see in
Task Managers Processes list.

"System Idle Process"
"System" The Windows System Process
"SMSS.EXE" Session Manager Subsystem
"CSRSS.EXE" Client Server Runtime Subsystem
"WinLOGON.EXE" The Windows Logon process
"SERVICES.EXE" Services Control Manager
"LSASS.EXE" Local Security Authentication Server Service
"svchost.exe" Service Host
"spoolsv.exe" The print spooler service
"explorer.exe" Windows Explorer
"TASKMGR.EXE" The Task Manager
"regsvc.exe" Remote Registry Service


"System Idle Process" is basically another name for the
time when Windows is doing nothing. There are hundreds of
thousands of processes that run on a computer, so you will
definitely find names of many other processess that are
not listed above. For a list of well known processes,

You can also learn about almost any task by using it's
name as a search term in google.

Task Manager can also be used to tweak your system if it's
running slow. The Performance tab displays running graphs
of your computers CPU and memory usage. If the CPU usage
seems to be running over 80 percent most of the time, or if
the memory usage seems to be running higher than the total
physical memory, you may want to shut down some
applications or processes.

On the Process tab, you can identify processes that are
consuming a lot of processor time. Click twice on the CPU
column heading to sort the CPU column so the processes
hogging the most CPU time on top. You can sort the
"Mem Usage" column the same way.

On the Application tab, if you right click on the name of
an application and, in the popup menu that appears, choose
"Go To Process", Task Manager will open the Processes tab
and highlight the process that runs the application. On the
Processes tab, if you right-click on the name of a process,
you can choose "SetPriority" and promote the priority of
the process you need (or demote the priority of a different
process to free up some resources).

If you go to the Application tab and shut down an
application, you will shut down any processes related to
that application. Or, you might choose to shut down a
background process that you can identify. To shut down an
application or process, click on it's name in the list to
highlight it, then click on the End Task button.

On the Processes tab, if you right click on the name of a
process, you can choose "End Process Tree" to kill the
process and any sub-processes started by the process.

Task Manager can also be used for troubleshooting. If an
application freezes up, you can open Task Manager and shut
down the application. If the entire system freezes up, you
can use Task Manager to shut down a process that is hogging
all the CPU time or memory.

If you spend some time monitoring your computer with task
Manager, eventually you will become familiar with the
processes that commonly run. Then, when you see an
unfamiliar process, you can do a little investigation to
make sure it's not a virus. For example, if you see
msblast.exe in the process list, your computer is infected
with the Blaster virus. You might be able to detect and
eliminate a new virus before an antivirus update is available.

To Wire or Not to Wire

Wireless networks are en vogue, but your installation won't be successful unless you chose the right type of network and set it up properly. Wired networks require that each computer be connected via a wire to a central location, called a switch or hub. This often involves installing cables through walls and ceilings and can present a challenge for anyone.

If the computers in your home or office are all within 500 feet of each other, a wireless network might be for you. A wireless network has no cables. It can connect computers on different floors of a building or even across the street. Aside from the obvious benefit of not having wires, wireless networks are more convenient since the setup, configuration, and reconfiguration can often be done within minutes, without extensive planning.

Wireless networks, however, are not as fast as wired networks. If you play computer games or want to view streaming video or other high-speed multimedia, a wireless network might not have enough capacity. But, if you just want to check e-mail and view web pages, a wireless network is a good choice. To install a wireless network, you need a Wireless Access Point and a wireless network card for each computer. You will need to buy a wireless network card for each desktop computer, although most newer laptops come equipped with one.

Security is not a large concern in a wired network, since someone would have to physically connect to a wired network to break in. In wireless networks, a car parked outside with a laptop could easily connect to your network if you don't have proper security in place. To prevent this from happening, encrypt your wireless network connections, or set a password to access the network, or do both.

Do It Yourself or Call a Professional?

If you decide to use a wired network, consider whether you will install it yourself or hire a professional. If you have a small number of computers that are all situated very close to one another, you may be able to buy pre-assembled network cables and connect them yourself. If you need to wire multiple floors and lay wire through ceilings and walls, you need a professional installation. If you go this route, it is best to begin with a floor plan of your office or home, determine what your current needs are, and consider how the network design can be adapted to future needs. A professional installer should be familiar with EIA/TIA standards, local wiring and electrical codes, and making custom cables. Network cabling professionals are often judged by the neatness of their work, because sloppy cabling is more apt to deteriorate over time, harder to manage, and poses more of a fire risk.

Having a wireless network or a wired network is not mutually exclusive. Many small offices have a wired network in addition to one or more wireless networks, depending on their needs. Wireless networks are continuing to get faster, more secure, and less expensive. Wired networks will continue to coexist with wireless networks, often in the same homes and offices.
